How we look after your data when you book or work with us, and the terms that govern every shoot. Last updated 21 May 2026.

Privacy policy

This Privacy Policy explains how Captured by Jovan (Jovan Dhillon) — "we", "us", "the Creator" — handles your personal information when you enquire, book, or work with us. We are the data controller for this information under UK GDPR. 1. WHAT WE COLLECT - Identity & contact details: your name, business name (if any), phone number, email address, and social handles. - Booking details: dates, locations, deliverables, payment details, and any notes you share when planning a shoot. - Imagery: the photos and videos we create with you on a shoot. - Communications: messages between us (email, WhatsApp, Instagram DMs, etc.). - Technical data: basic device/browser data when you visit our online galleries or sign documents — used to keep the service secure and reliable. We do not knowingly collect data from anyone under 16. Where children appear in a shoot, parental / guardian consent must be in place. 2. HOW WE USE IT - To respond to your enquiry and prepare quotes. - To deliver the booked service (planning, shooting, editing, delivering content). - To take and process payments and keep accurate accounting records. - To send you reminders, the finished gallery link, and follow-up review requests. - To meet our legal obligations (e.g. HMRC record-keeping). - With your separate permission, to feature your shoot in our portfolio, on social media, or in our marketing. 3. LAWFUL BASES Depending on the activity, we rely on: contract (to deliver the service you've booked), legitimate interests (to run and improve a small business), legal obligation (tax / accounting), and consent (e.g. portfolio use of identifiable images). 4. WHO WE SHARE IT WITH We share the minimum personal data needed with carefully chosen suppliers: - Stripe — payment processing (if used for card payments). - Turso, Vercel, Cloudflare — secure hosting and database for our admin app. - Google Drive / WeTransfer / Pic-Time / Pixieset — delivery of finished content. - Apple, Google — push notifications about your booking and review reminders. - HMRC and our accountant — where required by law. We do not sell your data and we do not use it for ad targeting. 5. STORAGE & TRANSFERS Your data is stored in the UK / EU / US depending on the service. Where your data leaves the UK we rely on the receiving provider's UK-adequate or Standard Contractual Clauses safeguards. Original / raw photo and video files are kept on encrypted local storage. 6. HOW LONG WE KEEP IT - Enquiry data with no booking: up to 12 months. - Booking records, contracts, invoices: 7 years (UK statutory record-keeping). - Original imagery from a shoot: typically up to 24 months unless we've agreed an archival service. After that, files are deleted unless you've asked us to keep them. - Gallery links: deleted on expiry of the gallery. 7. YOUR RIGHTS Under UK GDPR you can: - Ask for a copy of the personal data we hold about you. - Ask us to correct anything that's wrong. - Ask us to delete your data ("right to be forgotten"), subject to our legal record-keeping obligations. - Withdraw consent for portfolio / marketing use of identifiable images at any time. - Object to processing or ask us to restrict it. - Complain to the UK Information Commissioner's Office (ico.org.uk) if you think we've handled your data incorrectly. To exercise any of these, email us via the address on the privacy page. 8. SECURITY Access to client data is protected by strong passwords, two-factor authentication, and (where supported) device-bound passkeys. Galleries are password-protected by default. Sensitive payment data is processed by Stripe — we never see or store full card details. 9. CHANGES TO THIS POLICY We may update this policy from time to time. Terms & conditions

These Terms & Conditions cover all bookings and engagements with Captured by Jovan (Jovan Dhillon), trading as a sole content creator and photographer ("we", "us", "the Creator"). By paying a deposit or signing a booking form, you ("the Client") agree to these terms. 1. SERVICES We provide photography, videography, editing, and short-form social media content as agreed in your booking form or contract. The exact scope of work, deliverables, location, and timings are set out in the booking form for that engagement. 2. BOOKINGS & DEPOSITS A booking is only confirmed once the agreed deposit has been received and a signed booking form is on file. The deposit secures your date and is non-refundable in the event of cancellation by the Client. 3. PAYMENT The remaining balance is due no later than 7 days before the shoot, unless otherwise agreed in writing. We may withhold delivery of final content until the balance is paid in full. For longer or higher-value engagements we may invoice in stages. 4. CANCELLATION & RESCHEDULING - Cancellation by the Client: the deposit is non-refundable. If the balance has already been paid, we will refund it minus a reasonable contribution towards work already done. - Rescheduling by the Client: we will do our best to accommodate one rescheduling at no charge, subject to our availability. Further rescheduling may incur an admin fee. - Cancellation by the Creator: if for any reason we cannot deliver the service (e.g. illness, equipment failure, emergency), all payments will be refunded in full. We are not otherwise liable for consequential losses. 5. DELIVERABLES & DELIVERY Edited content is delivered electronically via an online gallery, Google Drive, WeTransfer, or another agreed platform. Unless otherwise agreed, edited photos will be delivered within 4 weeks of the shoot and edited video/reels within 6 weeks. 6. RAW FILES Raw, unedited files are not normally included. They may be requested for an additional fee and at our discretion. 7. COPYRIGHT, USAGE & PORTFOLIO We retain copyright in all content created. The Client is granted a perpetual, non-exclusive licence to use the delivered content for personal use or for use within their own business / social media, with photo credit where reasonable. Re-sale or sub-licensing of the content to third parties is not permitted without our prior written agreement. We reserve the right to use any content created for our own portfolio, social media, and marketing unless the Client has requested otherwise in writing before the shoot. 8. CLIENT CONDUCT & SAFETY The Client is responsible for ensuring all attendees at a shoot behave reasonably and respect equipment and personnel. We reserve the right to end a session early without refund if behaviour is abusive, threatening, or unsafe. 9. THIRD PARTIES & VENUES The Client is responsible for securing any permissions, permits, or location releases required to shoot at a particular venue, including private property, indoor venues, and ticketed events. 10. LIABILITY Our total liability for any one engagement is limited to the fees paid for that engagement. We are not liable for indirect, consequential, or third-party losses, including missed events outside our control. 11. DATA PROTECTION Personal data you give us is handled in line with our Privacy Policy. 12. GOVERNING LAW These terms are governed by the laws of England & Wales.
